We are a member of a company group that represents Europe's leading online retailer for spare car parts. We are headquartered in Berlin, with branches in 5 countries, and we operate across Europe through a network of more than 4,000 employees.
We adopt agile management and open-minded approaches, foster team engagement, proactivity—and of course, results. We have reduced our volume of paperwork and now use a maximum of cloud solutions in combination with a high pace of work.
Right now we are looking for an Executive Assistant with superior attention to detail, great organisational skills and ability to meet tight deadlines, juggle multiple critical requests.
Reporting directly to the CEO, an Executive Assistant provides executive support in a one-on-one working relationship. Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO. Executive Assistant also serves as a liaison to the senior management team; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
The main goal of an Executive Assistant is to reduce the cognitive overload of the CEO so that he can pay more attention to important strategic things.
What you will need to do:

handle and route tasks, including independently decides what to do with an issue received from the CEO: do it yourself, hand it off to another employee, or hire an outside contractor;
-
ensure that all issues are done before the deadline;
-
track progress of company's projects, prepare interim reports and summaries;
-
prepare quarterly and annual presentations and summaries in cooperation with other stakeholders;
-
process and consolidate information, prepare reviews and summaries;
-
time tracking (help CEO plan and effectively distribute his work time);
-
make preparations for meetings (collect information about participants, pack it for the boss in a concise form);
-
seek and analyse various information (best practices, new solutions);
-
maintain documentation;
-
assist with personal matters;
-
carry out constant networking.

at least bachelor's degree is required;
-
strong work tenure: five plus years of experience supporting C-Level Executives, preferably in a digital marketing organization;
-
strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail;
-
very strong interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners;
-
highly resourceful team-player, with the ability to also be extremely effective independently;
-
demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment;
-
planning skills, high self-organization skills;
-
ability to make presentations and summaries that make sense to everyone;
-
ability to search, analyse and pack information to pitches;
-
ability to work in different time zones (from GMT+1 to GMT+8);

responsibility, diligence, punctuality;

open-minded, goodwill and tact;

fluent English speaker and competent Russian;

general technological sophistication (for example: share a folder in Google Drive; set up a filter in your email client; set up Google Calendar so everyone can see the manager's available slots; advanced Google search using special signs);

proficiency in task schedulers (e.g.: OmniFocus, Todoist, Wunderlist, Trello, etc.);

Excel, Word - not necessarily advanced, but a confident intermediate level;

Power Point.
